Gather it all in one place first
Paper hides: kitchen worktop, hallway, that drawer, the car, a tote bag by the stairs. Before you sort anything, do a sweep of the whole house and bring every loose document into one pile in one spot. You cannot make good decisions about paperwork you cannot see, and the full pile is usually less frightening than the dread of it.
Sort fast into four trays
Set up four landing spots and go through the pile quickly, no reading every word, just sorting:
- Action, needs doing: a bill to pay, a form to return.
- File, keep for reference: warranties, certificates, tax.
- Shred, anything with personal details you no longer need.
- Recycle, junk mail, old catalogues, envelopes.
Most of the pile will be shred or recycle. That alone is a huge relief.
Know what you can safely let go of
You do not need to keep everything forever. As a general rule, utility bills and bank statements can go once you have checked them (most are online anyway), while documents like tax records are usually kept for several years. Hold on to anything genuinely important, passports, certificates, anything legal, and when you are unsure about official records, a quick check of the relevant government or provider guidance beats keeping a decade of everything "just in case".
Keep filing brutally simple
Elaborate filing systems fail because they are too much effort to maintain. A single concertina file or a box with a handful of broad categories (Home, Money, Health, Car, Important) beats twenty fiddly labels you will never keep up. The best system is the one you will actually use on a tired Tuesday.
Stop the pile coming back
Open post next to the recycling bin and deal with it on the spot: bin the envelope and junk immediately, put the rest straight into Action or File. Go paperless wherever you can. And keep one small tray for the genuine "Action" items so they never migrate back onto the worktop.
